  • A place in Power BI Online (also known as Power BI Service) to create and share collections of dashboards, reports, datasets, and paginated reports
  • Workspaces are a key method of collaborating with other people from within Power BI Online
  • All users have a "My workspace" for self-created content

Collaborator

  • Data analyst / report creator

Stakeholder

  • Occasional report user
  • Never writes reports

  • Must have Pro or Premium Per User licensing

  • By default, workspace admins

Workspace roles

  • Admin - Can do anything
  • Member - Can do anything except add new admins, update the workspace, or delete the workspace. May add new people to Member or lower roles. Responsible for apps
  • Contributor - May create, edit, delete, and view content in the workspace. Responsible for report design and deployment
  • Viewer - May view content and interact with dashboard and report elements

Power BI apps

  • Method to package content for broad distribution
  • Combines dashboards, spreadsheets, datasets, and reports into one place--including multiple reports over several datasets
  • Allows bundling reports together for easy distribution and access

Types of Power BI apps

Organizational app

  • Available to people within your organization
  • Intended to be a "complete picture" including data

Template app

  • Used to deploy content to external users
  • Allow users to connect their own data into a pre-created dashboard
  • Can host on Microsoft AppSource and give (or sell) to the general public
  • Hundreds of template apps are available in the Power BI marketplace

App licensing

  • If the app is not hosted in Premium capacity, all business users need Pro or Premium Per User licenses to view the app
  • If the app is hosted in Premium capacity, users without Pro or Premium Per User may have limited view access
